Employee performance awards

Introduction

It is the Policy of ADK Hospital to recognize exemplary performance of the staff members and recognize their services through appreciation and awards. Thus, the Hospital has decided to introduce an annual Employee Performance Awards (EPA) from 2010. Every award year begins from December of the previous year to November of the Award year. Therefore, for example, performance evaluation for 2010 awards will be based on the period between December 2009 to November 2010.

These awards will be given in the following categories.

  • Employee of the Year
  • Gold Performers
  • Silver Performers

This document outlines the selection process for the Awards.

 

Eligibility

  • All Employees except the top management staff are eligible for the EPA provided they meet the prerequisites for qualification as outlined in this document.
  • Must have completed 12 months of employment.
  • Any Employee who had a formal disciplinary action taken against him/her within the Award year will not be eligible for the award even if other criteria are fulfilled.

 

Prerequisites for qualification

In order to qualify for EPA, Employees shall meet the following eligibility criteria.

  1. Attendance
    1. Attendance is defined as being present for work on all working days for that Employee except annual leave, maternity leave of 60 days and paternity leave of 5 days leave and child circumcision leave.
    2. To qualify for any performance award, the Employee must attain at least 90% attendance during the year.
  2. Punctuality
    1. Punctuality is defined as being ontime for duty on every working day where the Employee was present for work.
    2. To qualify for the performance award, the Employee should attain at least 90% punctuality during the year.
  3. Performance Appraisal
    1. To qualify for any EPA, the Employee should attain at least 85% in a full performance appraisal and the following specific scores in the performance appraisal criteria.
      1. Criteria 1: Attendance and Punctuality 15 points
      2. Criteria 2: Cooperation 20 points
      3. Criteria 13: Privacy and Confidentiality 20 points  

 

Scoring

Scoring will be based on the points attained for the pre-requisites as defined above and two more criteria as outlined below.

The following scoring system will be used to select candidates for EPAs.

  1. Attendance
    1. Employees with 100% attendance: 10 points
    2. Employees with 95%-99% attendance: 9 points
    3. Employees with 90%-94% attendance: 8 points
  2. Punctuality
    1. Employees with 100% punctuality: 10 points
    2. Employees with 95%-99% punctuality: 9 points
    3. Employees with 90%-94% punctuality: 8 points
  3. Performance appraisal
    1. Employees attaining between 255 to 300 points: points will be given exactly as attained in the Performance Appraisal
  4. Compulsory attainment criteria 1 of performance appraisal:15points in addition to total Performance Appraisal score
  5. Compulsory attainment criteria 2 of performance appraisal: 20 points in addition to total Performance Appraisal score
  6. Compulsory attainment criteria 13 of performance appraisal: 20 points in addition to total Performance Appraisal score
  7. Sick leaves
    1. Employees without any sick leave in the year: 10 points
    2. Employees with 1- 4 days of sick leave in the year: 8 points
    3. Employees with 5-9 days of sick leave in the year: 6 points
  8. Family obligation leave
    1. Employees without any family obligation leave: 5 points
    2. Employees with 1- 4 days of family obligation leave: 3 points
    3. Employees with 5 - 8 days of family obligation leave: 1 point

 

Thus the maximum score any Employee could achieve is 390 points and the minimum score is 326 points.

Based on the above points an EPA Index will be calculated and the best 11 Employees will be awarded provided they attain the set index levels to qualify for each category of award. The selection will be based on Index points scored to the nearest 2 decimal points. The EPA Index is an average of the total number of points attained by the eight criteria applied for the award.

The highest attainable EPA Index points are 48.75 and lowest EPA Index is 40.75.

An Employee will qualify for each of the EPA category by attaining the EPA Index points as follows

  1. Employee of the Year: 45.75 to 48.75 (If no staff attains adequate Index points, this category will not be awarded for the year)
  2. Gold Performers: 43.75 to 45.74 (if no staff attains adequate Index points, this category will not be awarded for the year)
  3. Silver Performers: 40.75 to 43.74 (if no staff attains adequate Index points, this category will not be awarded for the year)

 

Award benefits

ADK Hospital EPAs have the following benefits

  1. Employee of the Year (1 award per year)
    1. MVR 10,000/- cash prize
    2. Certificate of Recognition
    3. Badge to be worn throughout the next year
    4. Photo display
    5. Valuable gift item
  2. Gold Performers (maximum of 5 awards per year)
    1. MVR 5,000/- cash prize
    2. Certificate of Recognition
    3. Badge to be worn throughout the next year
    4. Photo display
  3. Silver Performers (maximum of 5 awards per year)
    1. MVR 3,500/- cash prize
    2. Certificate of Recognition
    3. Badge to be worn throughout the next year
    4. Photo display

In addition to the above benefits, Employees who win these awards will be given preference when awarding scholarships, study loans, short term trainings and other such opportunities.

 

Award endorsement

The EPA Awards of ADK Hospital will be presented to the Corporate HR Committee of the ADK Group for endorsement. This Committee consists of top management executives of ADK Company Pvt. Ltd, ADK Trade and Shipping Pvt. Ltd and ADK Hospital. No member of this Committee will be eligible for the awards.

Decisions taken by the Committee with regard to the EPA will be made available to the staff if requested. The main standpoint of the decisions will be based on this policy unless an event that has not been addressed in this Policy occurs.
